The business in one offer
Who it serves
Small agencies, nonprofits and professional offices of 3 to 15 people where tasks live in email, chat and sticky notes, and nobody can find the latest version of a file. Managers pay because deadlines slip and duplicate work wastes hours they can see but not measure.
What to sell first
A two-week team system setup: short interviews with each team member, a shared task board in the client's existing tool, a folder structure and naming guide for one shared drive, a 30-minute weekly planning meeting template, and a 90-minute training session. Excluded: buying or migrating software, IT security setup, personal coaching for individuals, and moving old archives.
Using tools the client already owns removes software cost and approval delays. A two-week scope with one board and one drive is easy to quote and finish, and the weekly meeting template gives the team a habit to anchor the new system.
What could it cost to start?
This is an original example budget for the limited pilot described above. It is not a researched market average or a complete quote for every location.
| Item to price | Example allowance |
|---|---|
| Trial accounts in common task and file tools | $80.00 |
| Training slide and guide templates | $100.00 |
| Website and booking page | $200.00 |
| Professional liability insurance quote allowance | $450.00 |
| Business registration allowance | $150.00 |
| Example total | $980.00 |
What this assumes—and excludes
Assumes you have project management or operations experience and a laptop. Excludes client software, office rent, owner pay and local licenses. Get insurance and contract advice locally before taking clients.
Collect actual supplier, insurance and local-authority information. Add a reserve for delays and unexpected costs; the example total is not a funding recommendation.
How the unit economics work
At an assumed $1,500.00 per team setup and $20.00 in direct costs, contribution is $1,480.00 before monthly fixed costs, owner pay and taxes. With 16 all-in working hours per unit, that is $92.50 per delivery hour before those deductions. These inputs illustrate the arithmetic; they do not establish a market price or expected earnings.
The example also allows $90.00 in monthly fixed costs. Include unpaid acquisition and administrative time when deciding whether the offer is worthwhile.
Try your own numbers
These are editable planning assumptions, not prices we have verified. Calculations stay in your browser.
Operating result = (price − direct cost) × units − monthly fixed costs. Before owner pay, taxes, financing and startup recovery. At these inputs, delivery requires 160 hours per month, plus any work not included in your per-unit estimate. Sales volume is a scenario, not a forecast.
How to find the first customers
Test a small offer before scaling traffic. Record the source of each enquiry, whether it fits the offer, and whether the buyer pays.
- Offer a free 30-minute review of one team's task flow to managers you know, using a real recent project. Write down where tasks got lost and share notes afterward.
- Ask IT support firms that serve small offices whether clients complain about messy shared drives, and offer to work alongside them on process.
- Run a short online session on weekly planning meetings for a local business group, and collect contact details only by opt-in.
- Share a sample naming guide and board layout from a fictional team so prospects can picture the result.
What to validate before spending more
- Do one setup for a team at a reduced price and track hours. If interviews and training run past 18 hours, cut interviews to team leads only.
- Check in 30 days after training and count how many tasks live on the board versus in email. If adoption is low, add a follow-up session.
- Confirm with clients who owns admin access to their tools, and avoid storing client credentials on your own devices.
- Check whether your city requires a business license for consulting services, and whether working on client premises changes anything.
The operational catch
Teams often want to move everything at once, including years of files. That creates broken links and frustration in the first week. Start with new work only, set a cutover date, and leave old files in an archive folder.
A practical way to fund the first step
Take half the fee upfront. You need no equipment beyond a laptop, so early deposits cover insurance and a simple website.
Separate cash already available from money still to earn. Count only proceeds after direct expenses, and do not spend customer funds needed to fulfill their existing orders.
Questions before you start
Which task tool should I recommend?
Start with what the client already pays for. Most popular tools can handle a basic board. Only suggest a switch if the current tool truly cannot meet a key need, and let the client make the purchase.
Can I offer ongoing support?
Yes, as a separate monthly check-in package with a capped number of hours. Keep it optional so the setup offer stands on its own.
What if one team member refuses to use the board?
Ask the manager to make the board the only place assignments are made. When work only arrives there, holdouts usually adapt. If not, the issue is management, not the system.
